How to connect your business and personal calendar to your Marketing OS

Connecting your calendars is the first step to effectively managing your calendar as a purpose-driven entrepreneur. 

We recommend that you connect both your work and personal calendars because you’re a whole person, and you don’t want a client meeting to be scheduled during a doctor's appointment or a kid’s soccer game. 

Connecting your business calendar

You first need to connect your business calendar before you can configure it. 

Here’s what you need to do:

  1. Log into Better Story Marketing OS
  2. Select Calendars from the left side menu 
  3. Click Calendar Settings in the top menu
  4. Click Connections in the new menu
  5. Choose from Google Calendar, Outlook, or iCloud. 
  6. Select your business calendar from the dropdown in the Main Integration Calendar section.
  7. Click on My Profile in the left menu and select your business calendar in the Primary Calendar section.

Once your calendars are connected, they will show the Active icon next to the account.

Connecting your personal calendar(s)

If your personal calendars are shared with your work calendar, then you can have the Marketing OS check them for scheduling conflicts.

Here’s how you do that:

  1. Click on Settings at the bottom of the left menu.
  2. Click on My Profile in the left menu.
  3. Click “edit” in the Check for Conflicts section. 
  4. Choose which additional calendars you want to check to determine your availability.

How to create custom calendar options for your business needs.

Setting your overall availability

You can set your availability so customers can only book appointments during times you want. 

  1. Click on Settings at the bottom of the left menu.
  2. Click on Calendar in the left menu.
  3. Click Availability in the top menu.

You can select your overall working hours. Each day can be unique and can even have multiple time slots. Just click “+ Add Time” to create multiple time slots in a given day. This feature is helpful if you want to ensure you’ll still have a lunch break. 

What you’re setting here are the broad parameters for your availability. When you create custom calendars, you can tighten your availability even more. 

The Marketing OS will also check your current schedule to determine when you are free. 

Creating new customer calendar options

Each entrepreneur handles their scheduling uniquely, and the Better Story Marketing OS gives you the tools and flexibility to create calendar options that work for you. 

When you click Create Calendar, you’ll see the following options.

Each calendar type is designed to meet the needs of your business. Here are some of the calendar uses you could create for your business.

  • Discovery sessions a potential client can initiate. 
  • A paid session that is either single or recurring.
  • Registering for an event like a webinar or workshop.
  • Scheduling a customer support session.

When you click Select, you’ll want to click “Advanced Settings” at the bottom to customize the calendar fully.

Here are some of the calendar options you’ll want to pay attention to:

  • Select which team member(s) will be automatically assigned when a meeting for this calendar is created.
  • See a meeting invite title that will make sense both to you and the client.
  • If you create this for a single event like a webinar or workshop. Select “Custom” as the Availability Type, and you can choose specific dates. 
  • If you are doing a workshop, you can limit the number of seats in the Class Booking.
  • You will want to customize the thank you message.
  • If you want to collect specific information about the person scheduling the meeting, you can select a custom form to be included in the booking process. 
  • You can add a price by toggling on the Accept Payments option. 
  • Be sure to select who will be notified about the booking.
