Connect Your Phone System & Streamline Calls in Your Financial Services Bundle

Never miss a call and keep client communication professional and organized.

Handling calls professionally across bookkeeping, financial planning, tax, and insurance services is essential. Whether it’s a client checking in on their books or a prospect wanting an insurance review, a smooth phone setup keeps everything running freely. Here’s how to get your phone system up and running in the Marketing OS.

Get and Register Your Business Phone Number

  • Log into your Marketing OS, then go to Settings → Phone Numbers.
  • Search by area code to find a number that fits your region. These numbers cost just around $1.15/month and come with monthly credits to cover calls and texts.
  • Once you select one, register it in the Trust Center using your business details.
  • Complete A2P (Application-to-Person) messaging registration—this ensures your texts like reminders or follow-ups get delivered instead of filtered out.

Set Up Voicemail & Call Forwarding

  • From the same section, choose where calls should go:
    • Voicemail: Upload a professional greeting. Callers can leave a message, which you can review and return at your convenience.
    • Forwarding: Route calls directly to another business number (like your main office line)—though voicemail won’t pick up in this case.
  • You can also set forwarding or voicemail to activate only during certain hours (like after 5 PM or weekends).

Create and Train Your AI Voice Agent

  • Navigate to AI Agents. Set up a voice agent that answers calls when you're busy or after hours.
  • Customize the voice tone and greet callers in your brand's style.
  • Train the AI with rules like:
    • "Book calls directly if availability is open"
    • "Send a text link to schedule"
    • "Transfer to voicemail or your personal line"
  • The agent will operate based on your set availability and calendar integration, keeping you responsive without manual involvement.

Automate Alerts and Stay Notified

  • Set up workflows so you get notified—via email or platform alerts—whenever a voicemail is left or an AI-handled call occurs.
  • This ensures you're always aware of client attempts to reach you, whether it's about tax prep, policy questions, financial planning, or bookkeeping checks.
