Having a separate business phone number makes your coaching business look professional and keeps you from mixing business with personal calls. Your Coaching BrandPack makes it easy to pick a business number, set up voicemail, forward calls, and even create an AI voice agent that can book appointments for you. Here’s how to get your phone system set up so you can focus on coaching instead of answering every call.

Get and Register Your Business Phone Number

  • Go to Settings > Phone Numbers and search by area code to find a number that fits your business.
  • Numbers are low-cost (about $1.15/month) and you get a monthly credit to help cover charges for calls and texts.
  • After picking your number, register it in the Trust Center with your business details.
  • Complete A2P messaging registration (required for text message delivery) so your reminders and outreach messages don’t get filtered out.

Set Up Voicemail and Call Forwarding

  • Choose to route calls to voicemail (and upload a custom message), or forward calls to your main business line.
  • If you choose voicemail, callers can leave a message and you can call them back.
  • If you forward calls, calls will go to the number listed in your business profile—but no voicemail will be picked up by the system.
  • You can also decide when voicemails or forwarding should take over (like after business hours).

Create an AI Voice Agent

  • In the AI Agents section, create a new voice agent for your business.
  • Customize the voice and the message so callers hear a friendly, on-brand greeting.
  • Give the agent instructions—think of it like training a receptionist. Tell it how to answer, what to offer, and how to respond to common questions.
  • The AI agent can book appointments, transfer calls, or send a text link for scheduling—all based on your real calendar availability.
  • Set rules so the agent answers outside your working hours or when you’re busy, and send notifications or trigger workflows when calls are handled.

Automate and Stay Notified

  • Create a workflow that notifies you (or your team) when a voicemail or AI-handled call comes in.
  • You can get emails or notifications for each new call, so you always know when someone’s trying to reach you.
